University Events ("the Platform") is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, and your rights regarding your personal data.
When you create an organization or user account, we collect your name, email address, and an encrypted password. Organization administrators may also provide an organization name and contact details.
When registrants sign up for events, we collect the information provided in the registration form, which typically includes first name, last name, email address, and any additional fields configured by the event organizer (such as phone number, dietary preferences, or custom questions).
For paid events, payment is processed by third-party payment processors (such as TouchNet and Stripe). University Events does not directly collect, store, or have access to full payment card numbers. We may store transaction identifiers, payment status, and amounts for record-keeping purposes.
We automatically collect certain technical information when you use the Platform, including IP address, browser type, device information, and pages visited. This information is collected through server logs and analytics tools.
We use Google Analytics (via Google Tag Manager) to understand how users interact with the Platform. Google Analytics collects information such as pages visited, time spent on pages, and general geographic location. This data is aggregated and does not personally identify you.
We use Cloudflare Turnstile for bot protection on forms such as login, signup, and event registration. Turnstile may set cookies or use browser signals to distinguish humans from automated traffic.
The Platform uses essential cookies for authentication (session tokens). These cookies are strictly necessary for the Platform to function and cannot be disabled.

Registration data is accessible to the organization that created the event. Organization administrators can view, export, and manage registration records for their events.

We retain account and registration data for as long as your account is active or as needed to provide services. Event registration data is retained for the duration of the hosting organization's account. When an organization account is terminated, associated data will be deleted within a reasonable timeframe.
We may retain certain data for longer periods where required by law or for legitimate business purposes such as resolving disputes or enforcing agreements.
We implement reasonable technical and organizational measures to protect your personal data, including encrypted connections (HTTPS), hashed passwords, and access controls. However, no method of transmission over the internet or electronic storage is completely secure, and we cannot guarantee absolute security.
